Who we are

This service ("Remi") is an AI front-desk assistant operated by THE VISIONARY PLATFORM LTD, a company registered in England and Wales (company number 17198186), registered office 5th Floor, 167–169 Great Portland Street, London W1W 5PF ("we", "us") on behalf of the clinic you contacted ("the Clinic"). When you message or call the Clinic's number, you may be assisted by Remi.

What we collect

• Your name and phone / WhatsApp number
• The content of your messages and calls with Remi
• Appointment details (service, date, time, status)
• Anything else you choose to tell us during the conversation

We do not ask for clinical or medical details. Please don't share sensitive health information in chat — discuss that with the Clinic directly.

Why we process it (and our lawful basis)

• To answer your enquiry and book, change or cancel appointments — necessary to provide the service you requested.
• To send appointment reminders and waitlist offers — to perform the booking service and with your consent given when you first message us.
• To report aggregate activity to the Clinic (e.g. number of bookings).

Who we share it with

The Clinic (your appointment is theirs), and the service providers that make Remi work: our telephony/WhatsApp provider (Twilio), our speech provider (Microsoft Azure Speech), our database (Supabase), our AI providers (Google, Anthropic, OpenAI), our hosting (Railway), and calendar (Google, if used). Some of these process data outside South Africa; we only use providers bound to protections substantially similar to POPIA, or where another lawful ground under POPIA s72 applies.

How long we keep it

We keep your information only as long as needed to provide the service and meet legal obligations, then delete or anonymise it. Retention period: 24 months after your last interaction (unless a longer period is required by law).

Your rights (POPIA)

You may request access to, or correction or deletion of, your personal information, and you may object to processing. To exercise these, contact our Information Officer above. You may also complain to the Information Regulator (South Africa) — enquiries@inforegulator.org.za.

Opting out

Reply STOP at any time to stop receiving WhatsApp messages from Remi.

Changes

We may update this policy; the "last updated" date will change accordingly.
